Important information for creating effective virtual poster presentations

Why Poster Presentations Matter

Virtual poster presentations offer unique advantages for communicating your research:

  • Available for viewing 24/7 during the conference period
  • Viewers can navigate through your content at their own pace
  • Enables personal interaction with interested attendees through comments
  • Attracts an audience genuinely interested in your specific work
  • No scheduling conflicts with parallel sessions

Scientific posters should stimulate interest rather than provide exhaustive detail. Keep total text under 1000 words so viewers can fully read your poster in less than 10 minutes.

Design & Content Guidelines

General Principles:

  • • Content quality is paramount—artistry does not substitute for substance
  • • Relevance to the field should be immediately apparent
  • • Posters that are simply PowerPoint slides or manuscripts do NOT work
  • • Plan your layout before starting (minimum 1 week preparation time)

Layout Structure:

  • • Title at the top in large, attractive font
  • • Start with Introduction at upper left
  • • End with Conclusions/Recommendations at lower right
  • • Methods and Results fill the central space
  • • Use regions of empty space to differentiate and accentuate elements

Text & Typography:

  • • Use short sentences, simple words, and bullet points
  • • Maximum ~1000 words total (readable in <10 minutes)
  • • Use non-serif fonts (e.g., Arial) for clarity
  • • Text must be readable from 2 meters away (Arial ≥24pt minimum)
  • • Avoid jargon, acronyms, and unusual abbreviations
  • • Do NOT include an abstract on the poster itself

Visual Elements:

  • • Self-explanatory graphics should dominate (aim for 50% graphics)
  • • Break up text with graphics, charts, and photos
  • • Graphics readable from 1.5-2 meters (≥1cm font height)
  • • Use 2-3 colors for emphasis, avoid overuse
  • • Avoid patterns or open bars in histograms
  • • Remove non-essential information from graphs/tables
  • • All graphics and tables must have complete titles and legends

Required Content Sections

Title Section

Large fonts (Arial ≥80pt), poster number, author names, institutional affiliations. Minimize logo sizes—place in lower corners if needed.

Introduction / Objectives

Engage viewers with the research question using minimal background. State objectives clearly at the end of this section.

Methods

Short but precise. State study design, define study population, provide case definitions, mention statistical/laboratory methods used.

Results

Present descriptive results (response rate, demographics). Focus on data addressing your hypothesis. Tables and graphs should stand alone with minimal text supplement.

Conclusions / Recommendations

Comment on main results and why they're conclusive. Discuss potential biases. Provide clear, actionable recommendations.

Acknowledgments / Contact

Thank contributors, mention funding sources, provide email for further information.

Virtual Session Participation

Upload your presentation at least 24 hours before the session

Audio Narration Tips:

Your audio should guide viewers systematically through your poster (5-10 minutes recommended). Structure it as a presentation: introduce the problem, explain methods, highlight key findings, and conclude with implications and future directions. Speak clearly and maintain an engaging pace.

Production Checklist:

  • ✓ Print poster in A4 format first to check layout, colors, and spelling
  • ✓ Verify all figures and tables are self-explanatory with complete legends
  • ✓ Ensure text is readable when viewed at reduced size
  • ✓ Double-check that content matches your abstract

Step-by-step guide for presenting live via Restream Studio

About Restream Studio:

Restream Studio is a browser-based streaming platform that allows you to present live to a YouTube audience. You'll join your assigned studio link, share your screen/slides, and present at your scheduled time. No software installation required—everything works directly in your web browser.

Before Your Presentation

Check your schedule: Find your assigned time slot in your dashboard

Save your Restream link: You'll receive a unique studio link—bookmark it!

Upload your presentation: Upload your slides/PDF to your dashboard at least 24 hours before

Test your equipment: Check your microphone, camera, and internet connection

Prepare your slides: Have your presentation file open and ready to share

System Requirements

✓ Browser Requirements

Google Chrome (recommended) or Microsoft Edge. Safari and Firefox have limited support.

✓ Internet Connection

Minimum 5 Mbps upload speed. Wired connection recommended over Wi-Fi for stability.

✓ Equipment

Microphone (built-in or external), optional webcam, headphones to avoid echo.

Joining Restream Studio (15 minutes before your slot)

  1. Click your Restream studio link from your dashboard
  2. Allow browser permissions for microphone and camera when prompted
  3. Enter your name exactly as it appears in the conference program
  4. Join the studio and wait in the green room (you're not live yet!)
  5. Test your audio: Click the microphone icon and speak—you should see audio levels moving
  6. Position your camera (optional): Center yourself in frame with good lighting
  7. Wait for the moderator to invite you to go live at your scheduled time

During Your Presentation (20 minutes)

Screen Sharing:

  1. Click the "Share Screen" button at the bottom of Restream Studio
  2. Select the window or tab containing your presentation
  3. Check the "Share audio" box if you have videos with sound
  4. Click "Share" to start broadcasting your slides

Presentation Best Practices:

  • Speak clearly and at a moderate pace
  • Look at the camera when not sharing screen to engage viewers
  • Use the chat to interact with audience questions (if available)
  • Keep track of time—you have exactly 20 minutes
  • End with a summary slide showing your contact information

Control Panel Overview:

  • Microphone icon: Mute/unmute your audio
  • Camera icon: Turn your video on/off
  • Share Screen: Start sharing your presentation
  • Chat: Read and respond to audience questions
  • Leave Studio: Exit when your session is complete

After Your Presentation

Stop sharing your screen by clicking "Stop Sharing"

Answer final questions from the moderator or chat (2-3 minutes)

Click "Leave Studio" when finished

Recording available: Your presentation will be recorded and available on YouTube

Troubleshooting Common Issues

❌ Can't hear or see anything

Check that you granted browser permissions for camera/microphone. Click the lock icon in your address bar → Site settings → Allow camera and microphone. Refresh the page.

❌ Poor audio quality or echo

Use headphones to prevent echo. Mute your microphone when not speaking. Ensure you're in a quiet environment. Close other apps using your microphone.

❌ Connection keeps dropping

Switch to a wired ethernet connection if possible. Close other bandwidth-heavy applications (downloads, streaming). Lower your video quality in Restream settings. Ask others on your network to pause heavy usage.

❌ Screen share isn't working

Make sure you're using Chrome or Edge (Safari/Firefox have limited support). Grant screen sharing permissions when prompted. Select the entire screen or specific window—not just a browser tab. Refresh and rejoin if issues persist.

❌ Joined late or missed time slot

Contact the conference moderator immediately via chat or email (conference@gccafrica.net). They may accommodate you in a backup slot if available.

⚠️ Important Reminders:

  • • Join your studio 15 minutes early to test everything
  • • Your presentation is exactly 20 minutes—practice timing beforehand
  • • You are being broadcast live—be professional and prepared
  • • The session will be recorded and posted to YouTube
  • • Have a backup plan: test your internet speed, have slides accessible on mobile
  • Dress professionally from the waist up (if using camera)
  • • Keep your contact information on your final slide for follow-ups
